The Administrator’s primary goal is to support the operational backbone of our work by ensuring that team operations, administration, and bookkeeping run smoothly. Reporting to the Operations Director, this position manages accounts payables and receivables, as well as monthly reconciliations, and assists with grant reporting and the annual audit. Through precise attention to detail, the Administrator implements and maintains organizational policies including record retention, IT management, and tax reporting.
The Administrator manages the organization of the office environment, fostering a welcoming, accessible, and efficient workplace for staff, artists, and visitors. The Administrator plays an integral role in shaping Bemis Center’s employee culture by coordinating employee advancement and satisfaction activities, such as team building, recognition, and celebrations.

Responsibilities
- Manage the accounts payable and receivables, and document retention/destruction processes
- Reconcile bank accounts and credit card statements monthly
- Compile reports and documents for the financial audit process
- Prepare and provide monthly departmental reports
- Implement and maintain organizational policies including record retention, IT management, and tax reporting
- Manage office activities and functions to increase efficiency, productivity, and staff enjoyment, while ensuring compliance with Bemis Center policies
- Assess and order office supplies as needed
- Maintain and update office systems, such as phones, computers, internet, and A/V equipment, as needed
- Provide information technology support for staff
- Help manage payroll, employee files, and reimbursements
- Develop and manage Employee Recognition programs
Requirements
- Bachelor’s degree in Business, Accounting, or Nonprofit/Arts Management is strongly preferred; professional experience can be substituted for education on a year-by-year basis
- 2-years of professional experience in an administrative role for a cultural nonprofit organization is strongly preferred; or any equivalent combination of experience, lived experience, and/or special skills
- Demonstrated experience in administrative, accounting, or HR-related work
- Proficiency with Microsoft Office Suite, QuickBooks, or similar software is desirable
- Strong scheduling, time management, and organizational skills are essential
- Excellent written and verbal communication skills
- Requires critical thinking and problem-solving skills
- Ability to maintain discretion and confidentiality

- Ability to travel, both in and out of state, up to 10%
Compensation
This is an exempt, salaried position, based on knowledge, skills, and experience. The salary range is $40,000 - 45,000 annually with a generous benefits package that includes health and dental benefits (50% of employee premiums paid by Bemis Center), Paid Time Off, 12 paid holidays, and a paid 2-week winter break at the end of the year, and a Bemis Center-paid life insurance policy.
